Summary

The DOT Clerk will be responsible for data entry and management of DOT files and documenting HSE files and incident reports, as well as a variety of clerical, technical and secretarial duties related to the departments.

 

Responsibilities

  • Performs general office tasks (i.e., receive and give messages, manage multi-line phone switchboard, greet the public by telephone or in person, handles deliveries and other administrative duties as assigned by Management)
  • Communicates to field employees, safety coordinators, and director of safety regarding compliance and logs
  • Maintains files, materials and information of a confidential nature
  • Data research, report writing, coordination of special events, coordination of meeting arrangements and report preparation
  • Performs computer data entry to record and retrieve information
  • Ensures full awareness of, and compliance with, the requirements of all relevant company/customer HSE and DOT handbooks and procedures and emergency procedures
  • Maintains a close working relationship with all levels of the district work force to ensure that a system of open communication exists

HSE:

  • Administer and manage deadlines for random and post-incident drug testing
  • Works as a liaison with departmental leads to confirm HSE training requirements
  • Perform data entry related to incidents and drug/alcohol testing while maintaining strict confidentiality

DOT:

  • Daily processing, handling, and data entry of documents, files, forms and requests to and from the Safety Department
  • Maintenance of driver files to ensure that licenses, documents and certifications are up to date

Minimum Requirements and Skills

  • At least 2 years’ experience in an Administrative Support role
  • Ability to adhere to strict confidentiality standards
  • Strong data entry  skills, and knowledge of data entry software is a plus
  • Microsoft Office software knowledge is a must (Excel, Word, and Power Point)
  • Strong time management and personal organization skills
  • Prior experience with HSE and/or DOT regulations preferred
  • Working knowledge of pertinent regulations including: OSHA, EPA, DOT, NRC, LADEQ, TCEQ, USCG highly valued
  • Working knowledge of CMV DOT/FMCSA regulations relating to HOS requirements: RODS, DVIR’s, IFTA/IRP, HAZ-MAT documentation, and CDL requirements highly valued
  • Strong interpersonal skills, with the ability to deal with a wide range of situations and personalities

Education

  • High school diploma or equivalent (required)
  • College/higher education or mixture of training and experience is preferred
